DNM

A naming convention small teams actually keep

Short answer

A useful team convention is short enough to explain and consistent enough to review: identify the client or project, include the relevant date, use a clear description, and add a document type. If revisions need separate numbers, agree on how those are recorded too.

Stop the (final)(2)(copy) chaos: a file-naming convention small teams actually keep, with duplicate suffixes replaced by one sortable name like Acme_20260612_Proposal_RPT.docx

Document Naming Manager helps you apply your selected fields to imported files on Windows, with review before saving.

What is wrong with Proposal_final?

Proposal_final.docx and Proposal_final_v2.docx can both look plausible without telling a colleague which copy was approved. Names help identify a document, but the team still needs an agreed place for the authoritative version and a way to record approval.

A useful convention defines what each field means and how to handle exceptions. Pair the written guidance with a repeatable review step, then check a sample of saved names periodically. DNM can assist that process; it does not guarantee team compliance.

What does a convention small enough to keep look like?

Start with a small set of fields that fits the team's work:

  • A date in YYYYMMDD form, so name sorting orders dates when the fields before them match.
  • A short description in real words, roughly a dozen characters, enough to say what the file is.
  • A consistent revision marker when you need numbered revisions. In DNM, enable Class and Class Number to include a marker such as VER_2, then review or enter the intended number. It does not establish approval status or manage version history.

None of this is novel advice. UBC's University Records Management Office recommends building file names from the same handful of elements, a date, a subject, a document type, and a version, because consistent naming keeps records findable over time. That turns the Proposal_final pile into a tidy, sortable stack:

For example, with Class and Class Number enabled, 20260612_Acme-Proposal_VER_1.docx identifies a numbered revision. DNM can recognize an existing marker such as v2 and suggest VER_2; review or enter the intended number before saving. A filename does not establish whether that revision is approved or the newest available copy.

Where does the client or project name go?

One more part earns its keep the moment you have more than one client or matter: a leading label that says who or what the file belongs to. DNM calls this the Division, the client or matter the file belongs to, usually carrying a reference like ACME1234. Put it first and matching prefixes group together in a name-sorted list:

ACME1234_20260612_Acme-Proposal_RPT.docx

This General-standard example puts the description before the type. Other standards may put the type first; that groups types only after earlier fields match. Use a short reference sheet to explain the codes to new colleagues.

Agree on a workflow as well as a pattern

Decide who names incoming documents, which date to use, how revisions are labeled and where reviewed files should be saved. Test the convention with real examples before rolling it out. A naming tool can reduce repeated entry, but it cannot replace those decisions or tell whether a document is approved.

How DNM supports the convention

Import files into DNM, choose the intended standard and review the suggested fields. Correct missing or inaccurate context before saving. The same saved configuration can help users repeat the structure without recreating it manually for each batch.

Configure the standard on each PC that handles naming and share the intended policy with the team. Watch Folder can detect and queue new files for review; users still check and save the suggestions. Recovery Vault can undo eligible recent saves with configurable retention up to seven days, subject to settings, storage limits and unchanged files. Keep normal backups. Naming is processed locally without uploading documents to a naming service.

If your team hasn't settled on a pattern, use the free naming convention generator to build and preview one. The Cost of File Chaos calculator lets you explore hypothetical search-time reductions and modeled license fees using your own assumptions. When you're ready, you can download DNM and start a free trial on Windows 10 or 11.

Common questions

Does VER_2 prove that a document is the latest approved revision?

No. It records a revision label in the filename. Approval and version history need their own agreed process.

Does DNM centrally enforce naming across a team?

No. Configure the intended policy on each PC. Users review and save files through DNM; it does not control names created elsewhere.
